Email signature management for real estate brokerages

Give every agent a signature with the right name, license number, office and broker details, managed from one dashboard. BulkSignature works with Google Workspace and Microsoft 365 for brokerages and teams, property-management companies and franchise offices.

What BulkSignature does for real estate companies

BulkSignature is email signature management software for real estate companies whose mail runs on Google Workspace or Microsoft 365. You design the signature once: each agent’s name, title, photo and contact details come from your directory, and fields such as a license number, state or office come from custom attributes that your directory, your admins or the agents themselves fill in. Listing and open-house banners run as campaigns with views, clicks and click-through rate. At the 10-license minimum, the Standard plan costs $1.10 per license per month billed monthly, or $0.88 billed yearly, and the rate goes down as your license count grows. The 14-day free trial needs no card.

Brokerages and teams

Design the signature once in the Designer. Each agent’s name, title, phone and photo come from Google Workspace or Microsoft 365; a license number, designations or a team name come from custom attributes. Publish it to everyone as the Global Signature, or to a team through a group. Agents never edit the design, and with daily sync switched on, new agents in your directory are imported every day.

  • License number, designations and team name on every agent
  • Preview the signature as any agent in the Designer before you publish
  • A Zillow profile icon among the 37 social icons

Do real estate agents need their license number in their email signature?

Only in some places. California requires every licensee named in a first-contact email to show their DRE license number; Texas requires no license number but sets the size of the broker’s name; New York, Florida, Virginia and Illinois require the brokerage’s name.

Not legal advice

We read each rule below at its primary source and summarize what it asks of an email signature. This is not legal advice: confirm with your broker of record or counsel before you change your signatures. BulkSignature does not make a signature compliant; it puts the fields and text your brokerage decides on into every signature.

Where your agents’ signatures appear

BulkSignature connects to your Google Workspace or your Microsoft 365 account, one of the two per company, and puts each agent’s signature where they write.

Gmail on Google Workspace

BulkSignature writes each agent’s signature straight into Gmail’s signature settings, with nothing to install, and re-applies it nightly.

  • Written into Gmail when you publish the signature
  • Re-applied every night, even if an agent changed it in Gmail, so profile changes reach Gmail within a day
  • A send-as address like leasing@ gets its own signature once your admin switches that kind of address on

Outlook on Microsoft 365

Your IT admin deploys the add-in once; it then adds signatures automatically in Outlook for Windows (classic and new), Mac, the web, iPhone and Android.

  • Deployed once from the Microsoft 365 admin center; the rollout can take up to 24 hours
  • A shared mailbox like leasing@ gets its own signature when an agent sends from it
  • Classic Outlook for Windows needs version 2104 or later; Outlook LTSC 2021 and the legacy Outlook for Mac interface cannot run the add-in

Also on Google Workspace

Apple Mail and desktop Outlook

Agents who use Apple Mail or desktop Outlook install the BulkSignature desktop app for Mac or Windows. It puts their signature into Apple Mail, Outlook for Mac and classic Outlook for Windows and refreshes it twice a day.

BulkSignature for Gmail (Chrome extension)

Adds the right signature, including a reply signature and one per sending address, in Gmail on the web in Chrome. Changes arrive within minutes.

Safe and Secured Signature Management

BulkSignature follows industry-standard security and compliance practices including SOC 2 Type II and GDPR to protect your enterprise data.

Questions about real estate email signatures

Yes. Create a custom attribute for the license number, or use one of the five fixed custom fields, and place it in the signature. Fill it in Company Data, by CSV import or from your directory (Google Workspace custom schema fields or Microsoft 365 extension attributes, once directory custom fields are switched on), or let agents enter it themselves in the User Portal once you switch it on.

Only in some places. California requires every licensee named in a first-contact email to show their DRE license number; Texas requires no license number but sets the size of the broker’s name; New York, Florida, Virginia and Illinois require the brokerage’s name. See the rules by state and country, with sources. This is not legal advice.

Yes. Assign a signature to a group for each office, or to an org unit on Google Workspace. For the office logo, use an Image custom attribute: the account keeps one company logo, and each signature shows the office’s own. BulkSignature does not assign signatures by office automatically; you choose the group or org unit for each signature.

Yes. Create one signature for each state, with that state’s disclosure, and assign it to a group of that state’s agents, or to an org unit on Google Workspace. Your brokerage decides what each line says.

Yes. Give leasing@ its own signature: on Microsoft 365, a shared mailbox or an alias gets it in Outlook through the add-in; on Google Workspace, a send-as address gets its own in Gmail. Your admin switches each kind of address on first. A Google group address that members send from gets one shared group signature, the same for everyone. Each address a signature reaches counts as one license: a Microsoft 365 shared mailbox once, a Google Workspace group address once for each member who sends from it.

BulkSignature works with company mailboxes on Google Workspace or Microsoft 365; personal Gmail and Outlook.com addresses are not supported. If you have your own domain on Google Workspace or Microsoft 365, you can sign up, but every company pays for at least 10 licenses. If your brokerage already uses BulkSignature, your admin sets up your signature.

Within one Google Workspace or Microsoft 365 account, each franchise office can have its own signature, through a group or an org unit, and its own office logo, through an Image custom attribute. Franchisees on their own separate accounts each need their own BulkSignature account and subscription, with the 10-license minimum each. A BulkSignature account has one company profile; it does not manage several accounts or brands together.

In Outlook, yes: on Microsoft 365, the Outlook add-in adds each agent’s signature in Outlook on iPhone and Android, as it does on computers and the web. The Gmail app on phones is not covered.

No. BulkSignature manages email signatures: the name, contact and brokerage block at the end of every email your agents send. It does not collect signatures on purchase agreements, leases or other documents; use an e-signature tool for those.

Agents cannot edit the signature itself. Once you switch on the User Portal, agents update their phone, title, headshot or license number; you choose which fields they can edit, and the design stays managed centrally. On Google Workspace, the signature is re-applied every night, even if an agent edits it in Gmail.

Yes. Put text such as an Equal Housing Opportunity statement or a wire-fraud warning in the disclaimer block, up to 1,000 characters, and add the logo as an image; there is no built-in Equal Housing logo, and SVG images are not supported. HUD does not require the logo in brokerage email, and NAR offers a wire-fraud notice template: see the rules table.

No, not today. BulkSignature has no CRM, MLS or listing-data integration, and a signature that a CRM sends is set in that CRM. A Zillow profile icon is available among the 37 social icons, as a link to an agent’s profile.

At the 10-license minimum, the Standard plan costs $1.10 per license per month billed monthly, or $0.88 billed yearly. The rate goes down as your license count grows, and the rate you reach applies to all your licenses. Brokerages with 500 or more licenses can ask for an Enterprise volume discount. Every company buys at least 10 licenses, there is no contract, and the 14-day free trial needs no card. See pricing.
